Rental Agreement
This Rental Agreement is between WeddingCam LLC, a Tennessee limited liability company trading as WeddingCam ("we", "us"), and the customer named on the booking ("you"). By completing a booking you agree to the terms below.
Version 2026-09-28. The version in effect when you book is recorded with your booking.
1. Rental Period
- Your rental window is set at the time of booking. It begins on the day your kit is due to arrive and ends on your return date.
- Your kit ships 10 days before your window opens and is guaranteed to arrive on or before its first day.
- Your return date is the last day of your window. All equipment must be dropped off with the carrier, using the prepaid label, on or before that day.
- A late fee of $100 per day applies to equipment dropped off after your return date, capped at $700 total.
- If we have not received the kit, and tracking shows it has not been shipped, within 14 days after your return date, the kit is treated as lost. At that point the loss charges in Section 5 apply, late fees stop accruing, and the two are not charged on top of each other beyond the amounts described there.
- Rental extensions are available by email request only — write to us before your return window closes. An agreed extension is not a late return.
2. Payment Terms
- A 25% deposit is due at the time of booking to secure your date.
- The remaining 75% is due 30 days before the wedding date. A payment link will be emailed to you.
- Bookings made fewer than 30 days before the rental start date are paid in full at the time of booking, since there is no time for a second payment before the kit ships.
- Non-payment of the final balance may result in cancellation of the booking and forfeiture of the deposit.
- All payments are processed securely through Stripe. Card payments only.
- Prices are in USD and include applicable sales tax.
Authorization for damage, loss and late-return charges
- You authorize WeddingCam LLC to charge the payment method used for your booking for damage, loss and late-return fees assessed under Sections 1, 4 and 5 of this agreement.
- Before any such charge, we will email you an itemized explanation of what is being charged and why, including repair or replacement documentation where it exists.
- This authorization remains valid until 30 days after the kit is returned or was due to be returned, whichever is later.
- If you believe a charge is wrong, contact us at booking@weddingcam.co first and we will work it out with you directly.
3. Cancellation
- 60+ days before your event: full deposit refund minus a $100 processing fee.
- 30–59 days before your event: deposit forfeited (no refund).
- Under 30 days before your event: no refund — the deposit and any final payment are forfeited.
- Cancellations must be submitted in writing to booking@weddingcam.co.
- Approved refunds are issued within 7–10 business days.
- Events outside everyone's control are covered by the force majeure terms in Section 11.
4. Equipment Care
- Every kit is tested and working before it ships. The equipment has filmed weddings before yours, so it may show light cosmetic wear — that is normal, and cosmetic wear that was there when the kit arrived is never charged to you.
- Inspect all equipment upon receipt and report any damage within 24 hours of delivery. Damage reported at that point is on us, not you.
- The renter is liable for loss, theft, or damage to the equipment while it is in their possession.
- Do not attempt to repair equipment yourself.
- Equipment is for use at your event only.
5. Damage, Loss and Replacement Charges
Charges under this section reflect our actual cost, not a penalty:
- Repairable damage — equipment that comes back damaged but repairable is charged at the actual repair cost as shown on a repair invoice, up to the replacement value of the item. We will share the invoice with you.
- Loss, theft, or unrepairable damage — charged at the actual replacement cost of the affected items at the time of replacement.
- "Repairable" means the item can be restored to working order for less than its replacement cost; otherwise it is treated as unrepairable.
- Loss of use — while a kit is out of service for repair caused by damage in your care, a fee of $100 per day out of service applies, capped at $700. This reflects bookings the kit cannot serve, and it never stacks with the late-return fee: only one of the two applies to any given day.
Current replacement estimates, so you know roughly where things stand (actual replacement cost at the time governs):
- Camcorder: about $1,300
- Battery: about $120 each (two ship with every kit)
- Charger: about $20
- Memory card: about $150
- Hard case: about $150
- Mounting hardware: about $45
- Wireless mics: about $170 the pair
- Tripod: about $100
- LED light: about $50
- Carry bag: about $35
- Full standard kit: about $2,250
6. Shipping
- We ship to addresses within the United States only, and the kit must be returned to us from a US address. We do not ship to or accept returns from international addresses.
- Kits ship via USPS to arrive on or before the first day of your rental window.
- Someone must be available to receive the package.
- A prepaid return QR label is emailed to you — no printer required.
- Drop the kit off on or before your return date.
- Everything that arrived goes back: camcorder, both batteries, charger, memory card, mounting hardware, and any add-ons. The printed cards are yours to keep.
- Use the original packaging for the return.
- Tracking numbers are emailed for both directions.
- Delays in returning the kit are the renter's responsibility.
Destination weddings
You are welcome to travel with the kit. We ship it to your US address, you take it with you, and you bring it home and mail it back. On those bookings:
- Your rental window must cover the whole time the kit is away from us, not only the wedding day. Extra days are available at $75 per day when you book. Your return date is the drop-off deadline regardless of where you are.
- You remain responsible for loss, theft and damage the entire time the kit is in your care, anywhere in the world, on exactly the terms in Sections 4 and 5.
- Batteries must travel in your carry-on bag, never in checked luggage. Airlines prohibit spare lithium batteries in the hold. Batteries confiscated or lost because they were checked are treated as lost equipment under Section 5.
- Customs, duties and any travel paperwork for carrying the equipment are your responsibility. The kit is standard consumer camera gear and normally travels without issue, but we cannot advise on the rules of another country.
- We cannot replace a kit that is lost or damaged while you are abroad. Domestically we can often overnight a replacement; once the kit has left the country, we cannot.
7. Equipment Use
- The equipment is rented for filming your own event. Do not re-rent, lend out, or use it for commercial production work. (This restricts what the equipment may be used for — your rights in the finished film are covered in Section 8.)
- Do not submerge the equipment in water.
- Do not expose the equipment to temperatures below 32°F or above 100°F.
- Do not modify the equipment in any way.
- No unsupervised use by children under 12.
- No illegal use of any kind.
- Charge the batteries before the event.
8. Video Delivery & Rights
- Your footage receives a professional edit with color grading and licensed music.
- Music licensing works differently for the two deliverables. Your main film uses music licensed for personal use and sharing on any platform, including YouTube. Your social media edits use audio from Instagram and TikTok's own music libraries, which is only licensed on those platforms. Post social edits to Instagram, TikTok and Facebook only. Posting a social edit to YouTube or elsewhere will likely get the audio muted or flagged for copyright, and that is outside our control. If you want to post a social edit somewhere else, you may replace the audio under your own music license, or ask us and we will cut a version with licensed music instead.
- The finished film is delivered within 3–4 weeks of the equipment being returned.
- One round of revisions is included.
- You retain rights to your final video for personal use and sharing. You grant WeddingCam LLC permission to use excerpts of your footage and film in our marketing. If you would rather we didn't, email booking@weddingcam.co and we will honor it.
- Raw footage is delivered via a WeTransfer link within 48 hours of the kit arriving back with us. Download it promptly — the link expires, and the downloaded files are yours to keep.
10. The Edit and Artistic Judgment
- Editing is a craft, and you are hiring our judgment: which moments make the cut, how the film is paced, how music and colour are used. Final creative decisions on the edit rest with WeddingCam LLC.
- The included revision round exists precisely so you can shape the result — tell us what to change and we will recut it.
- After that, dissatisfaction with artistic choices — the style, pacing, music selection, or which moments were included — is not grounds for a refund. The same applies to the content of the raw footage itself: what your guests filmed is what the day gave us, and we edit the best film that footage allows.
11. General Terms
- You must be 18 or older to book. The person who books is the renter and remains responsible for the equipment even while guests are using it.
- Right to refuse — we may decline or cancel a booking at our discretion before the kit ships; if we do, you receive a full refund of everything paid.
- Indemnification — you agree to indemnify and hold WeddingCam LLC harmless from claims by third parties arising out of your or your guests' use of the equipment during the rental. This does not apply to claims caused by our own negligence.
- Force majeure — neither of us is liable for failure to perform caused by events beyond reasonable control: natural disasters, fire, flood, epidemics, government orders, carrier network failures, or similar. If such an event prevents your rental entirely, we will work with you to reschedule, and if rescheduling is impossible we will refund payments for services not delivered.
- Governing law and venue — this agreement is governed by the laws of the State of Tennessee. Any dispute that cannot be resolved between us will be brought in the state or federal courts located in Knox County, Tennessee, and the prevailing party may recover its reasonable attorneys' fees and costs.
- Severability — if any part of this agreement is found unenforceable, the rest remains in effect.
- Entire agreement — this agreement, together with your booking confirmation, is the whole deal between us. Changes must be agreed in writing (email counts).
9. What We Are Responsible For
We stand behind everything we sell you: shipping the kit both ways, the professional edit, one round of revisions, and delivery of your raw footage. Those are firm commitments.
Some honest limits on a service like this:
- Your guests hold the camera, not us. The quality and completeness of the raw footage depends on what is actually filmed on the day. We edit the very best film the footage allows, but we cannot add moments the camera never captured. Please read the setup guide at weddingcam.co/setup and hand the camera to someone who will love using it.
- Carriers are outside our control. We ship with enough buffer that a normal delay does not threaten your date, and if tracking stalls we work the problem immediately, including sending a replacement kit when time allows. We are not liable for delays or losses caused by the carrier once a package is in their network.
- Our total liability is capped at what you paid us. To the fullest extent Tennessee law allows, the combined liability of WeddingCam LLC under this agreement — whatever the legal theory — will not exceed the total amount you paid for your booking, and neither of us is liable to the other for indirect, incidental, consequential, or emotional-distress damages.
None of this limits anything that cannot lawfully be limited, and it does not excuse us from doing the job you hired us for.
